NetSuite Implementation Checklist
Use the NetSuite implementation checklist we use to manage projects, from early planning through the first month after go-live. It includes checkpoints to catch problems before they become costly to fix.
The pre-signature homework
Many project outcomes are set before anyone configures anything. Panorama’s 2026 ERP Report found more than a quarter of projects went over budget, most often because the chosen system didn’t fit and extra technology had to be added – outcomes track preparation, not software.
- Name the ownerA client-side lead with real authority and real hours. The single biggest success predictor we see.
- Write the requirements yourselvesYour processes, your edge cases, your reports. Before any vendor shapes the list around their template.
- Start the data confrontationDuplicates, formats and gaps surveyed now. Cleansing runs on the critical path from day one.
- Fix the decision cadenceWeekly decision slots booked for the duration. Config waits on choices more than on consultants.
Decisions that everything inherits
Get these wrong and the project builds the wrong system efficiently.
- Chart of accounts for the destinationStructured for where the business is going. Segments, entities, reporting dimensions – because changing them later is costly.
- Item and customer architectureNaming, hierarchies and data standards signed before a single record loads.
- Process designs documentedEach core flow written down and signed. The artefact change orders get measured against.
- Integration contracts agreedWhat moves, which direction, who wins conflicts, what happens on failure – per connection, in writing.

The parallel tracks
Configuration and migration run together. Projects that serialise them run late.
- Config against signed designsDeviations surfaced and re-signed, never absorbed silently into the build.
- Mock data loads – pluralFirst load finds the mapping faults; second proves the fixes; cutover load is the third, boring by design.
- Reconciliation gatesEvery load proven to source with sign-off – balances, open items, control totals.
- Custom work documented as builtScripts and workflows with written purpose and owner – the future admin’s inheritance.
Testing and cutover: the gates that can say no
UAT with real scenarios – Your people, your data, your month-end. Never the vendor’s happy path alone.
Defect triage with teeth – Blockers fixed, deferrals decided by you with eyes open. A list, an owner, a status.
Go/no-go on evidence – Criteria written in advance; the date loses to the evidence, never the reverse.
Cutover runbook rehearsed – Sequence, timings, owners and rollback. Walked through before the weekend it’s needed.
After go-live: where success is confirmed or lost
Go-live is the start of the proving period, never the finish line.
- Hypercare with senior coverFast answers in weeks one and two prevent a workaround culture forming before it becomes habit.
- First close, supervisedMonth-end one run with support on hand. The real acceptance test of the whole build.
- Workaround censusEvery spreadsheet and offline step logged and triaged. Each one is a requirement talking.
- Snag-to-backlog disciplineThe fix list owned, prioritised and worked – momentum through the settling period.
