Xero to NetSuite migration

When Xero needs a stack of add-on apps to keep your business running, replace the stack with one system and numbers you can reconcile.

The problem

Signs you’ve outgrown Xero

Xero worked well at £2m turnover. Now inventory lives in one app, projects in another, reporting in a third. And every month someone reconciles the apps to each other before they can reconcile the bank. Group consolidation across entities usually means another add-on in Xero.

What we do

How we migrate from Xero to NetSuite

Nothing reaches production until it has balanced in a sandbox.

  • The app stack, replacedInventory, projects, expenses and reporting add-ons consolidated into one system.
  • Tracking categories to segmentsXero allows two active tracking categories; NetSuite lets you add as many segments as you need.
  • Clean API extractionXero’s data comes out properly – contacts, items, open items, history.
  • Balances that reconcileOpening positions tied back to Xero and the add-ons feeding it.
  • Multi-currency and consolidation in one systemCurrency revaluation and group consolidation handled together, not in separate apps.
  • Subscription cullA documented list of what you stop paying for at go-live.

What switching buys you

Your data, reconciled

Open items and the history you choose come across and reconcile.

Days, planned

One freeze over a month-end – your team shouldn’t need to key anything twice.

Room the old system never had

Entities, currencies, reporting – with far more room to grow.

Sign-off, in writing

Every control account tied to source before go-live.

How it works

Five checkpoints

No checkpoint passes without your sign-off.

  1. Assess – we profile the current system and agree what moves, what’s archived and when.

  2. Map – every field and value gets a documented home in NetSuite before anything is loaded.

  3. Rehearse – the full migration runs into a sandbox first – never straight to production.

  4. Reconcile – balances tie back to the old system, account by account, and finance signs off.

  5. Cut over – one freeze, one final load, go-live with a rollback ready.

Good to know

What to know before you start

  • !Xero’s subledger detail is thin. Some of what you want in NetSuite lives in the add-ons, at varying quality. We scope each source, and we’ll tell you where the data isn’t available.
  • !Two tracking categories won’t map themselves. Years of category overloading need untangling into proper segments; it’s design work, and worth it.
  • !The gap between Xero and NetSuite is cultural too. Approvals, roles and period close are disciplines Xero never asked of you. Training covers the system; change management covers the habits.

Xero to NetSuite Migration FAQs

How long does Xero to NetSuite take?
Typically three to four months for a simple single-entity move, and five to eight months when several add-on apps and integrations are being replaced. The data migration workstream typically runs six to twelve weeks within that. The number of add-ons being replaced moves the timeline more than Xero itself.
How much does a Xero to NetSuite migration cost?
It depends on how much history you bring across, how many add-on apps are being replaced, how many entities you run and how much process redesign comes with the move. For typical UK figures, see what a NetSuite implementation costs.
Can you bring data from our Xero add-ons?
Usually yes, quality varying by app. We assess each source early and tell you what’s worth migrating.
What happens to our Xero tracking categories?
Each category and option is reviewed and usually split into NetSuite’s standard segments – departments, classes and locations – with custom segments added where you need more. It’s design work, agreed with you before anything is loaded.
What happens to our Xero data after we move?
Open items and the history you choose move across to NetSuite and are reconciled. Before you cancel Xero, export your reports and records, as HMRC generally expects company records to be kept for six years.
What happens to our VAT returns during the move?
Where possible, cut over at the start of a VAT period, so each return comes from one system. File the last return before cutover from Xero, and have NetSuite’s MTD for VAT set up before the first return is due.
What about Xero Payroll?
NetSuite has no UK payroll, so plan for a separate UK payroll system or bureau as part of the move. Payroll results are then posted into NetSuite through a journal integration.
Is NetSuite overkill after Xero?
Sometimes – and we’ll say so. If the right answer is ‘stay on Xero two more years’, that’s the answer you’ll get.
What are the best Xero alternatives for a growing business?
Most Xero alternatives are sideways moves – another entry-level package with different quirks. The real question is whether you need an accounting app or an ERP: NetSuite vs Xero is a category difference, not a feature war. If a stack of add-ons runs your operations, you have already outgrown the category, and the app stack is the cost to count.
